2020 Annual Conference 

The first step to a successful Annual Conference always begins with registration. The registration for the virtual Annual Conference to be held Dec. 6-8 has been up and running for two weeks – and so far, so good.

Given the unique situation around Annual Conference this year, Rev. Tami Coleman, the Annual Conference Secretary, wants to clear up any lingering questions or possible confusion about the registration process. “We are grateful for everyone’s patience and gracious response in these extraordinary circumstances,” Coleman said.

She listed four points around registration that the Annual Conference leadership team are stressing:

  1. Every Annual Conference member must register online by the Nov. 6 deadline. This will ensure that each person receives a link to the webinar and a unique voter ID code.

  2. Those who registered in the spring for the since-delayed June session will need to register again for the virtual session in December. This will help avoid confusion over who is registered and who isn’t.

  3. As part of registration, clergy members need to choose their voting status, which then will be reviewed and confirmed by the registration team.   4. Local church lay delegates or alternates attending in December are the ones who were selected during the 2019 Charge Conferences – not the ones to be selected during this year’s Charge Conference sessions; they will assume their roles for the 2021 Annual Conference scheduled for June.

“We want to encourage people to register as soon as possible,” said Rev. Gary Graves, co-chair of the Credentials and Registration Team. He said that as of Sept. 10, a total of 176 people had registered, which he said isn’t a bad start, but “we really need to get that number up.”

Graves said that in a normal year when Annual Conference meets in person, he and his team will register several hundred clergy and laity when they walk in the door. He stressed that “all of that has to happen in advance this time.”

Graves said he recommends that clergy remind their lay members to register. Alternate lay delegates don’t register unless a regular delegate can’t attend. In that case, Graves suggested that the pastor send an email to acregistration@kyumc.org to alert the registration team.

He recognizes that not everyone is comfortable with the online registration process, but this year we have no choice. He suggested that lay members who need assistance or lack internet access should seek out their pastor. Pastors who need assistance should contact their district superintendent.

That local connection generally is better, he said. “We would be happy to help, but it’s probably better for them to start with their local church or their district.”

Coleman said things are “coming together well and we’re looking forward” to virtual Annual Conference. She added that while it certainly is not ideal, “we can do this.”
